Next to the training matrix
The training matrix template shows who is trained for what. This record covers the step after: was the training checked at the job, what did the check show, and was the matrix updated afterwards.
What is in the file
- Settings: an as-of date (blank means today) and the check window in days after training. The 30 days are our own default; change them.
- Log: ref, person or role, training, trained on, how it is checked (Observation at the job, Work sample checked, Questions answered, Other), checked on, checked by, result, follow-up action, training matrix updated.
- Check due fills in: trained on plus the window. Days to check is check due minus the as-of date, until a checked-on date is entered.
- If the window is blank, rows not checked yet show "Set the check window in Settings" instead of a due date.
- Result is a list: Works as trained, Needs more training. The file only shows what you enter.
- Counts under the log: rows logged and rows per status. No score and no ranking.
How the status is worked out
In this order; the first match wins:
| Status | When |
|---|---|
| Enter training date | Trained on is blank. |
| Enter checked-on date | A result is entered but checked on is blank, so the result is not hidden behind a planned or overdue check. |
| Set the check window in Settings | Not checked yet and the check window in Settings is blank. |
| Check overdue | Not checked yet and the as-of date is after the check due date. |
| Check planned | Not checked yet. |
| Enter result | A checked-on date is entered but the result is blank. |
| Add follow-up action | Result is Needs more training and the follow-up action is blank. |
| Retrain and check again | Result is Needs more training and a follow-up action is entered. The row stops here. |
| Update the training matrix | Result is Works as trained and training matrix updated is not Yes. |
| Done | None of the above. |
One row is one check. When a row shows "Retrain and check again", log the re-check as a new row; this row keeps its history. The file does not link the two rows for you, so give the new row a note such as the earlier ref. A row marked Retrain and check again stays amber until you change it.
Example (fictional)
Made-up roles and trainings, extract, as of Thursday 22 October 2026, window 30 days:
| Ref | Person or role | Training | Check due | Result | Status | Days to check |
|---|---|---|---|---|---|---|
| T-01 | Operator 1 | New torque sequence, station 3 | Wed 7 Oct 2026 | Check overdue | -15 | |
| T-02 | Operator 2 | Visual check of seal lip | Wed 4 Nov 2026 | Check planned | 13 | |
| T-04 | Operator 3 | New label layout | Fri 2 Oct 2026 | Needs more training | Add follow-up action | |
| T-06 | Operator 4 | Packaging specification | Fri 9 Oct 2026 | Works as trained | Update the training matrix | |
| T-07 | Inspector 2 | First article check | Wed 14 Oct 2026 | Works as trained | Done |
Worth a check each month
- Overdue checks: a training nobody looked at afterwards.
- Needs more training without a follow-up action (marked in red), and rows showing "Retrain and check again" with no new row for the re-check yet. The file flags the row; the re-check goes on a new row.
- Works as trained but the matrix not updated: the matrix then shows less than the record.
Your own procedure decides how a training is checked and by whom. The record is an aid, not a verdict on a person.
