Boundary sample register: free Excel

One row per boundary or limit sample: part number, the feature or defect it shows, sample type, where it is kept, pieces in the set, who signed it off and when, your own review due date, the last review and its result, and when it was withdrawn and what replaced it. Samples past your review due date that are still in use are flagged.

Free, no card. Enter your email to get the Excel file.

Your review dates, not ours

  • The review due date and what makes a sample still usable are your own. The file quotes no review intervals or sample counts from any standard or customer.
  • Pieces in the set is your own number. The file sets no default.

What is in the file

  • Settings: an as-of date (blank means today).
  • Register: sample ID, part number, feature shown, sample type (Limit sample, Good sample, Defect sample, Other), location, made or received on, pieces in the set, signed off by, sign-off date, review due, last reviewed on, pieces found at review, review result (Still usable, Replace, Withdraw), withdrawn on, replaced by, notes.
  • A separate check column. Neither the status nor the review result hides it, a filled date or number is checked for the cases listed below, and a row can show several notes, joined with a semicolon.
  • Counts under the register: rows logged, rows per status, rows with a check note, rows past the review due date with no withdrawn date (any status), a line that should read 0 (rows not in any status), rows per sample type and rows per review result. No score and no ranking.

How the status is worked out

In this order; the first match wins. A row only reads Withdrawn or In use when every step before it is filled. Text typed in a date cell counts as blank:

StatusWhen
Enter sample IDThe row has an entry but no sample ID. It still counts.
Enter part number … Enter locationPart number, feature shown, sample type (from the list) and location, in that order.
Enter made or received dateBlank, or text instead of a date.
Enter pieces in the setBlank, or not a number above 0.
Enter signed off by, Enter sign-off dateName, then the date (blank or text counts as blank).
Enter review due dateBlank, or text instead of a date. The date is your own entry; the file sets no default.
Enter review resultLast review date filled with no result, or a result typed outside the list (Still usable, Replace, Withdraw). The result is a dropdown.
Enter last review dateResult filled, review date blank or text.
Enter pieces found at reviewResult filled, pieces found blank or not a number, 0 or more.
Withdrawal decided, not withdrawn yetResult Replace or Withdraw, withdrawn date blank.
Enter replacement sample IDResult Replace, withdrawn, replaced-by blank.
WithdrawnResult Replace or Withdraw, withdrawn date filled (and a replacement ID for Replace).
Review past dueNot withdrawn, as-of date after your review due date.
In useNot withdrawn, review due date not passed.

Check column notes, each followed by "worth a check", on any row whatever its status:

  • Review due date passed, no withdrawn date
  • Sign-off date before the made or received date
  • Last review before the sign-off date
  • Withdrawn date filled, review result is not Replace or Withdraw
  • Withdrawn before the last review date
  • Replaced by filled, review result is not Replace
  • Replaced by the same sample ID
  • Replacement sample ID not found in the register
  • Review due date before the sign-off date
  • Review result filled, last review date blank
  • Last review date filled, review result blank
  • Signed off by and sign-off date: only one filled
  • Sample ID used on more than one row
  • A made, sign-off, review or withdrawn date after the as-of date
  • Date not readable (text in a date cell)
  • Fewer pieces found than in the set, result Still usable
  • More pieces found than in the set
  • Pieces not a number (set above 0, found 0 or more)
  • Review result filled, pieces found blank
  • Replace or Withdraw, nothing written in Notes

Worth a check each week

  • Samples past your review due date with no withdrawn date, whatever the result (red while the status reads Review past due).
  • Rows with Replace or Withdraw but no withdrawn date or replacement ID.
  • Sets where fewer pieces were found at review than are listed, with the result Still usable.

Whether a sample still shows the feature is your call. The file records it and does not judge it.
