Who is responsible

8D Gate is the service at 8d-gate.vercel.app. You can reach us at 8dgate@agent.mailboxkit.com. This page covers the whole site.

What we collect

• Your email. If you give us your email at a form, we store it with the time you signed up, the page you used it on, and whether you ticked the newsletter box (and when you ticked it). We also store where you came from when the link carried it (campaign name and referring site).
• Visit and click data. We count page views and some clicks by type and page path, with small tags such as the review decision or a source tag. This data has no email, name or ID attached. We do not write your IP address or browser details to our database. Vercel Web Analytics also counts page views; what it receives is described in Vercel's own documentation. Our hosting provider keeps its own request logs, such as your IP address, outside our site, and we cannot say how long it keeps them.
• A daily count of reviews. We keep one number per day: how many AI reviews were run. It has no personal data in it.
• Your answers to the readiness check. The check is scored in your browser. When you finish, we also receive the answers, without your email, name or company, to see which gaps come up most often. Your company name stays in this browser. If you later give your email to get the PDF, that signup is saved with the result band of your check (for example "Some gaps"), so the band is linked to your email. The individual answers are not.
• Text you send for an AI review. The text is sent to Anthropic (Claude API) only to run the review. If you upload a file, our server reads it to extract the text and does not store the file. We do not store your report text in our database. Anthropic does not use API data to train its models. By default Anthropic deletes it within 30 days. Content flagged under Anthropic's Usage Policy may be kept for up to 2 years.
• Files you use in the CAPA log health check and the PFMEA and Control Plan Link Check. They are read in your browser and are not uploaded to our server. The CAPA ageing calculator also runs in your browser; nothing is uploaded.
• Feedback you send us. If you answer "Was this review useful?", we store your yes or no, an optional note of up to 500 characters, the review decision shown (Accept, Conditional or Reject), a source tag and the time. We do not store your email, IP address, your 8D text or the review output with it. Please do not put personal data in the note.

Who else handles your data

We never sell your data. We share it only with the providers that run the site for us:

• Vercel hosts the site and runs its Web Analytics, which counts page views for us.
• Neon runs the database where your email and the visit and click data are stored.
• Anthropic runs the AI review, and only receives the text you send for a review.

Cookie and browser storage

We set one cookie and use a few items of storage in your browser. We do not use advertising cookies.

• The cookie 8d_gate_credits is set when you run an AI review. It keeps count of your free reviews in this browser and lasts up to 90 days.
• Browser storage on your device: a mark that you already gave your email at a download gate (8dg_tool_export_ok), a counter for your daily checks in the CAPA log health check, and, for the length of your visit only, a flag that a download prompt was already shown and the campaign tag of the link you came from. They stay on your device; you can clear them in your browser settings.

Why we use it

• Your email: to give you what you asked for, such as the checklist or a report. We email you about new tools only if you ticked the newsletter box.
• Visit and click data: to see which pages and questions are used, so we can improve the site.
• AI review text: to run the review you asked for, and for nothing else.

How long we keep it

• Your email and sign-up details: we do not delete these automatically yet. We delete them within 30 days of your request. Write to 8dgate@agent.mailboxkit.com.
• Visit and click data and the daily review count: we do not delete these automatically yet. They carry no email or ID, so we cannot find yours on request.
• Feedback notes: we do not delete these automatically yet. We do not ask for your email in the note. If you typed personal details there, write to us and we will look for them.
• Readiness check answers: answers older than 180 days are deleted automatically the next time the check is used.
• AI review text at Anthropic: see above.

Your rights

You can ask us to show you the data we hold about your email sign-up (visit and click data cannot be linked to you; for a feedback note, see How long we keep it), to correct it, to delete it, or to stop using it. Email 8dgate@agent.mailboxkit.com from the address you gave us. If you are in the EU or UK, you can also complain to your local data protection authority.

Unsubscribe and delete

We do not send newsletter or other emails from the site today, so there is nothing to unsubscribe from yet. When we start, you will be able to unsubscribe by emailing 8dgate@agent.mailboxkit.com. To delete your email address, write to the same address. We may ask you to confirm from that address. For an AI review session, use Delete now on the review page. Delete now clears your session in this browser.

Advisory only

8D Gate gives advisory feedback before you send a document. It is not your customer's or auditor's decision.

We will change this page if what we do changes. The date below shows the last update.
