One row per gauge: interval, last calibration, next due date, result and a status. Overdue rows turn red, so the next gauge to send out is easy to see.

What the log holds

Gauge ID, description, location, owner, interval in months, last calibration date, who did it (in-house or a lab), the record or certificate reference, and the result: Within limits, Adjusted or Out of limits. The next due date is the last calibration date plus the interval.

How the status works

StatusWhen
Out of limitsThe last result is Out of limits, whatever the date.
OverdueThe next due date is before the as of date. Days overdue shows by how much.
Due soonDue within the window on the Settings sheet (30 days, our own default, not from a standard).
In dateDue later than the window.
No dateInterval or last calibration date is missing.

The as of date is today by default. Set a fixed date on the Settings sheet to see the status for a planning meeting. A next due date can fall on a weekend; plan the work day yourself.

When a result is out of limits

  • Worth a check: which parts or lots were measured with that gauge since its last good calibration?
  • Your procedure decides whether the gauge stays out of use; worth a check that it is marked and not used meanwhile. Note the record reference.
  • If parts may be affected, treat it like any other nonconformity: the NCR template holds the facts.

Calibration shows a gauge reads true against a reference. Whether the measurement system is good enough for the tolerance is a separate question: Gage R&R and MSA basics and the Gage R&R calculator.

Your own procedure, your calibration supplier and your customers decide intervals and methods. This file only keeps the dates.
