Trial run and pilot lot log: free Excel

One row per trial run or pilot lot: part number, why it ran, line or cell, owner, trial date, quantities run, evaluated and OK, when the result was recorded, the decision and its date, and when normal production was released. Trials past your own evaluation due date with no result are flagged.

Free, no card. Enter your email to get the Excel file.

Your quantities and dates, not ours

  • Trial quantities, the evaluated quantity and what counts as OK are your own. The file quotes no sample sizes or limits from any standard or customer.
  • The evaluation due date is your own entry. The file sets no default.

What is in the file

  • Settings: an as-of date (blank means today).
  • Log: trial ID, part number, reason (New part, Process change, New tool, Material change, Supplier change, Other), line or cell, owner, trial date, trial quantity, evaluated quantity, OK quantity, result recorded on, decision (Release, Repeat trial, Stop), decision date, released on, evaluation due, notes.
  • A separate check column. Neither the status nor the decision hides it, a filled date or quantity is checked for the cases listed below, and a row can show several notes, joined with a semicolon.
  • Counts under the log: rows logged, rows per status, rows with a check note, rows past the evaluation due date with no result date (any status), a line that should read 0 (rows not in any status), rows per reason and rows per decision. No score and no ranking.

How the status is worked out

In this order; the first match wins. A row only reads Released, Repeat trial decided or Stopped when every step before it is filled. Text typed in a date cell counts as blank:

StatusWhen
Enter trial IDThe row has an entry but no trial ID. It still counts.
Enter part number … Enter ownerPart number, reason (from the list), line or cell and owner, in that order.
Enter trial dateBlank, or text instead of a date.
Enter trial quantityBlank, or not a number above 0.
Enter evaluation due dateBlank, or text instead of a date. The date is your own entry; the file sets no default.
Trial plannedTrial date after the as-of date.
Evaluation past dueNo result date, as-of date after your evaluation due date.
Evaluation openNo result date, evaluation due date not passed.
Enter evaluated quantity … Enter decision dateEvaluated quantity, OK quantity (numbers, 0 or more), decision (Release, Repeat trial, Stop) and decision date, in that order. The decision is a dropdown: a value typed outside it, such as Ship, reads Enter decision.
ReleasedDecision Release, with a released-on date.
Release decided, not released yetDecision Release, released-on date blank.
Repeat trial decidedDecision Repeat trial.
StoppedDecision Stop.

Check column notes, each followed by "worth a check", on any row whatever its status:

  • Evaluation due date passed, no result date
  • Decision filled, result date blank
  • Decision dated before the result date
  • Released before the decision date, or decision date blank
  • Released on filled, decision is not Release
  • Evaluated quantity more than the trial quantity
  • OK quantity more than the evaluated quantity
  • Evaluated quantity below the trial quantity, decision made
  • Result dated before the trial date
  • Decision made, evaluated or OK quantity blank
  • Quantity not a number (trial above 0, others 0 or more)
  • Release decided, OK quantity below the evaluated quantity
  • Trial ID used on more than one row
  • A result, decision or release date after the as-of date
  • Date not readable (text in a date cell)
  • Evaluation due date before the trial date
  • Repeat trial or Stop, nothing written in Notes
  • Decision date filled, decision blank

Worth a check each week

  • Trials past your evaluation due date with no result date, whatever the decision (red while the status reads Evaluation past due).
  • Decisions recorded before the result date, or releases before the decision date.
  • Rows where fewer pieces were evaluated than were run, with a decision made.

Releasing, repeating or stopping a trial is your call. The file records it and does not judge it.
