Controlled shipping log: free Excel

One row per lot checked while your customer has you on controlled shipping: quantity checked, OK and NOK, the defect found, when the lot shipped and when the daily report went to your customer. The file counts clean lots in a row and shows reports past due and counts that do not add up.

The sorting instruction says how; this log says what was found

The containment sorting instruction tells the checkers what to look for and how. Once your customer puts you on controlled shipping (CS1 is commonly your own team, CS2 an outside sorting company, or whatever your customer calls it), this log keeps the day-by-day record: one row per lot, the counts, the report and the run of clean lots.

What is in the file

  • Settings: an as-of date (blank means today); working days to send the report, used only on rows where report due by is blank (1 working day is our own default, not from a standard; set it to what your customer asks); and the clean lots in a row your customer asks for, if they gave a number.
  • Log: lot ref, date checked, part, lot or batch, level (CS1, CS2, Other), qty checked, qty OK, qty NOK, defect found, checked by, shipped on, report due by, report sent on, 8D ref.
  • Clean lots in a row: goes up by 1 on each lot with no NOK and counts that add up, and back to 0 on any other row.
  • A separate check column. The status never hides it, and a row can show several notes, joined with a semicolon.
  • Counts under the log: rows logged, rows per status, rows with a check note, rows past due (any status), a line that should read 0 (rows not in any status), qty checked and qty NOK, clean lots in a row at the last row, and clean lots still to go to your customer's number. No score and no ranking.

How the status is worked out

In this order; the first match wins:

StatusWhen
Enter lot refThe row has an entry but no lot ref. It still counts.
Enter quantity checkedQty checked is blank.
Check the countsQty checked is 0, or qty OK plus qty NOK differs from qty checked.
NOK foundQty NOK is above 0.
Report past dueReport sent on is blank, and the as-of date is after report due by.
Clean, report openReport sent on is blank.
Clean, report sentNone of the above.

Check column notes, each followed by "worth a check", on any row whatever its status:

  • Report past due, not sent
  • OK plus NOK differs from checked
  • NOK found, defect blank
  • NOK found, 8D ref blank
  • Shipped before the check date
  • Checked by blank
  • Level blank
  • Date earlier than the row above
  • Report sent before the check date
  • Check date after the as-of date
  • Quantity checked is 0
  • Date checked blank

So a lot with NOK found still shows in the check column when its report is past due.

Entry and exit are your customer's decisions. The clean lots still to go is arithmetic only; the file says nothing about what your customer will decide, and your customer's procedure comes first.

Worth a check each day

  • Reports past due (marked in red), and any row whose check column says past due.
  • Counts that do not add up, and NOK rows with no defect or no 8D ref.
  • Lots shipped before their check date.

Containment, not the fix

Clean lots show the checking found nothing; the 8D still needs its root cause and a permanent action. For the D3 write-up, see the D3 containment evidence checklist.
