Sort and containment results log: free Excel

One row per suspect lot sorted, at each location: in-house, warehouse, in transit, at the customer or at the supplier. It keeps the counts (in lot, checked, defective), the defect type, who sorted, the date and the decision recorded, and flags quantities that do not add up.

How it differs from our other containment pages

What is in the file

  • Settings: an as-of date (blank means today).
  • Log: sort ref, 8D or alert ref, part no, lot or batch, location (In-house, Warehouse, In transit, At customer, At supplier), qty in lot, sort due date, sort date, sorted by, qty checked, qty defective, defect type, decision (Release good parts, Scrap defective, Rework defective, Return to supplier, Hold for decision), decision recorded by.
  • A separate check column. The status never hides it, and a row can show several notes, joined with a semicolon.
  • Counts under the log: rows logged, rows per status, rows with a check note, rows past due (any status), a line that should read 0 (rows not in any status), qty totals, rows with defects found and rows per location. No score and no ranking.

How the status is worked out

In this order; the first match wins. A row only reads Closed when every step before it is filled and the quantities add up:

StatusWhen
Enter sort refThe row has an entry but no sort ref. It still counts.
Enter part noPart no is blank.
Enter lot or batchLot or batch is blank.
Enter locationLocation is blank.
Enter qty in lotQty in lot is blank.
Sort past dueNo sort date and no qty checked, and the as-of date is after the sort due date.
Waiting for sortNot sorted yet.
Enter sort dateQty checked is filled, sort date is blank.
Enter qty checkedQty checked is blank.
Enter qty defectiveQty defective is blank (enter 0 when none found).
Enter defect typeQty defective is above 0, defect type is blank.
Enter sorted bySorted by is blank.
Enter decisionDecision is blank.
Enter decision recorded byDecision recorded by is blank.
Check quantitiesDefective more than checked, checked more than in lot, or a qty below 0.
Partly sortedChecked fewer than in lot.
ClosedEvery step above is filled and the whole lot is checked.

Check column notes, each followed by "worth a check", on any row whatever its status:

  • Sort past due, not sorted
  • Sorted after the due date
  • Qty defective more than qty checked
  • Qty checked more than qty in lot
  • Qty checked fewer than qty in lot
  • A qty below 0
  • Defective found, 8D or alert ref blank
  • No defective found, defect type filled
  • Sort date after the as-of date
  • Sort due date blank
  • Decision recorded on a partly sorted lot
  • Release good parts, qty defective blank

Worth a check each day of the sort

  • Lots past due (marked in red), at every location, including stock in transit and at the customer.
  • Rows marked Check quantities: a count that does not add up says little about the lot.
  • Defects found with no 8D or alert ref.

A clean sort result is containment only. It does not show the cause, or that the fix works; see the D3 containment evidence checklist.
