Quarantine and hold log: free Excel

One row per lot or batch put on hold: what, why, where and how many, who owns it, what was decided and when, and how many left the hold area each way. The file shows stock waiting past its decision date and quantities that do not add up.

Held stock needs a decision and a record

Stock on hold can wait for weeks with no decision on what to do with it, or leave the hold area with no record of where it went. This log keeps every hold in one place. The containment sorting instruction says how to sort suspect stock; the NCR template records one nonconformance. A deviation or concession request is a separate record; see the deviation and concession request log.

What is in the file

  • Settings: an as-of date (blank means today) and days to a decision. The 7 days are our own default, not from a standard; change them.
  • Log: ref, held on, part or product, lot or batch, reason for hold, location, quantity held, owner, decision (release, rework, sort, use as is, scrap, return to supplier, other), decision on, quantities released, reworked and scrapped or returned, closed on.
  • Decision due fills in: held on plus the days to a decision. Days on hold runs from held on to closed on or the as-of date.
  • A separate check column. The status never hides it, and a row can show several notes, joined with a semicolon.
  • Counts under the log: rows logged, rows per status, rows with a check note, a line that should read 0 (rows not in any status), and quantity totals. No score and no ranking.

How the status is worked out

In this order; the first match wins:

StatusWhen
Enter refThe row has an entry but no ref. It still counts.
Enter hold dateHeld on is blank.
Enter quantity heldQuantity held is blank.
ClosedA closed-on date is entered.
Enter decision dateA decision is picked, but decision on is blank.
Decision recordedA decision and its date are entered.
Set the days to a decision in SettingsThe setting is blank.
Decision overdueThe as-of date is after the decision due date.
Enter ownerOwner is blank.
Awaiting decisionNone of the above.

Check column notes, each followed by "worth a check", on any row whatever its status:

  • Quantity out more than held
  • Closed with quantity still on hold
  • Closed with no decision
  • Decision date with no decision
  • No decision and past the decision due
  • Decision date blank and past the decision due (a decision is picked)
  • No owner
  • Closed before held
  • Decision before held

So a row with a decision picked but no decision date shows Enter decision date, and the check column says "Decision date blank and past the decision due" once it is past the decision due date.

Example (fictional)

Made-up parts and lots, extract, as of Thursday 22 October 2026, 7 days to a decision:

Worth a check each week

  • Decision overdue (marked in red), and any row whose check column says past the decision due.
  • Quantity out more than held, or closed with quantity still on hold: the count of what left the hold area does not match.
  • Holds with no owner.

From the log to the 8D

Held quantities, decisions and dates are the kind of evidence D3 asks for. See the D3 containment evidence checklist, and when the 8D is written, check your 8D report before you send it.

Your own procedure decides who may make a decision on held stock. The log is an aid; it does not decide for you.
