Last audit, next audit, and what is still open

A supplier audit can slip by months when the last and next dates sit in different files, or when findings from the last audit stay open with no due date. This schedule keeps them on one row per audit. The supplier quality audit checklist covers what to look at during the audit; this file covers when.

What is in the file

  • Settings: an as-of date (blank means today) and an interval in months, used only on rows where the interval is blank. The 12 months are our own default, not from a standard; change them.
  • Log: ref, supplier, site or process, audit type (system, process, product, other), owner, interval, last audit on, next planned on, done on, findings open, finding actions due by.
  • Due by interval fills in: last audit on plus the interval. Days past planned runs from next planned on to the as-of date, for audits not done.
  • A separate check column. The status never hides it, and a row can show several notes, joined with a semicolon.
  • Counts under the log: rows logged, rows per status, rows with a check note, rows past due and not done (any status), a line that should read 0 (rows not in any status), and findings open. No score and no ranking of suppliers.

How the status is worked out

In this order; the first match wins:

StatusWhen
Enter refThe row has an entry but no ref. It still counts.
Enter supplierSupplier is blank.
Done, findings openA done-on date is entered and findings open is above 0.
DoneA done-on date is entered.
Set an intervalThe row interval and the Settings interval are both blank.
Enter planned dateNext planned on is blank.
Past planned dateThe as-of date is after next planned on.
Enter ownerOwner is blank.
PlannedNone of the above.

Check column notes, each followed by "worth a check", on any row whatever its status:

  • Planned date passed, not done
  • Past the interval due, not done
  • Planned after the interval due
  • Last audit after next planned
  • Finding actions open past due
  • Findings open with no action due date
  • No owner
  • Interval blank, Settings default used
  • Done before last audit
  • Done date after the as-of date

So a row still missing its ref or supplier shows that fill-in step, and the check column still says when the audit is past its planned date.

After a Done row, add a new row for the next audit.

Worth a check each month

  • Past planned date (marked in red), and any row whose check column says not done.
  • Findings open past their action due date, or with no due date at all.
  • Planned dates later than the interval allows, and last audit dates after the next planned date.
  • Audits with no owner.

From supplier results to the schedule

A supplier with a repeat 8D, a rising count in the supplier PPM log or open actions in the supplier corrective action follow-up log may be worth an earlier audit. That is your call; the schedule does not rank or rate suppliers. When a supplier sends an 8D, check the 8D report before you reply.

Your own procedure and your customers decide how often each supplier is audited. The schedule is a planning aid; it does not decide for you.
